Here are some pointers to help get you started:

Firstly, know how many people you’re looking to cater for. This will ensure you’re contacting venues that can accommodate your numbers. A city central venue may be a good choice for easy accessibility for students arriving and leaving via public transport. Of course a venue with a car park, will also be a consideration for those who may be driving to the event.

Secondly, secure your preferred date. You are probably committed to dates around the end of exams, so check that your chosen venue can accommodate you.

Food preferences will need to be considered, with any dietary or allergy requirements catered for. Discuss your needs with the venue who will be happy to advise on the menu choices available, and advise on any allergen ingredients.

You’re likely to be looking for extras, whether it’s a fun photo booth for creating lasting entertaining memories, disco, live band, themed decorations, or even a first drink to be included. Discuss your preferences with your venue.
